Terms and conditions of the ESPCA Emerging Pollutants

  • The official language of ESPCA Emerging Pollutants is English. Therefore, only participants with enough proficiency in this language will be selected to ensure full engagement in the activities.
  • The costs of round-trip (air or ground travels), meals, accommodation, travel insurance (only for foreign participants), and transportation between designated locations during the school’s activities will be fully covered by ESPCA Emerging Pollutants, with funding from The São Paulo Research Foundation (FAPESP). Students that are FAPESP scholarship holders must use their research project funds to cover travel and daily expenses during the school, as required by the foundation.
  • Obtaining visas for foreign participants, when required, including costs for appointments, travel, and fees, will be the sole responsibility of the selected participant. The participants must be aware of visa processing times to ensure their travel to Brazil in time for the school. The selected participants will receive an approval letter from the ESPCA Emerging Pollutants organization, which may assist in the visa application process.
  • Airline tickets will be purchased by the ESPCA Emerging Pollutants organization on behalf of the selected participants, considering economy-class travel with the best available fares at the time of purchase, following a reasonable itinerary and travel time. Under no circumstances may participants reschedule their flights for different dates. If this occurs, the participant must fully reimburse the ESPCA Emerging Pollutants organization, including any costs incurred to facilitate this reimbursement.
  • Students must submit round-trip boarding receipts to the Organizing Committee. The boarding receipt for travel to Brazil must be presented at the time of reception. Return flight receipts must be scanned and emailed within two business days of the student’s return. Certificates of participation will only be issued to students who fulfill this requirement.
  • Students who do not require air travel to reach ESPCA Emerging Pollutants will be contacted by the school’s organization to arrange their transportation.
  • All participants must arrive on the day before the start of the school’s activities (September 1, 2025) and depart on the day after the school concludes (September 14, 2025). Extending the stay will not be permitted under any circumstances.
  • During the school, all participants will be accommodated at the hotel hosting the ESPCA Emerging Pollutants activities (Bourbon Convention Hotel Santos). Staying at a different hotel will not be possible. Each room will accommodate two to three participants.
  • The organization will provide three complete daily meals at the hotel (breakfast, lunch, and dinner). Meals at other establishments or the purchase of additional food items, such as snacks and beverages, will not be covered or reimbursed by the ESPCA Emerging Pollutants organization.
  • Attendance at ESPCA Emerging Pollutants activities must be 100%. Absences will not be permitted. Attendance will be monitored for each activity, and participants must be available to attend the ESPCA Emerging Pollutants program for its entire duration.
  • All participants must present their research projects in poster format during the scheduled sessions. Participants must bring their printed posters (a template will be provided).
  • Any dietary, cultural, or religious restrictions must be communicated in advance to the ESPCA Emerging Pollutants organization, which will bring the best possible solution for such needs.
  • Up to 50 Brazilian students and 50 international students will be selected. Brazilian nationals affiliated with foreign institutions will be considered as “international students”, while foreign nationals affiliated with Brazilian institutions will be considered as “Brazilian students”.
